How to find and download Shopify bills and invoices
For Shopify merchants. Where Shopify keeps your bills in the admin, how to export a single bill as a PDF or a whole year as CSV, where app charges show up (and when they don't), and why payment processing fees aren't on the bill.
If you run a Shopify store, Shopify is probably one of your biggest software expenses, and it isn't one charge. Your plan, your apps, shipping labels and transaction fees all land on Shopify bills, while some apps bill you elsewhere and payment processing fees come out of your payouts. Here's where each piece lives and how to pull a full year for your books.
Short answer In your Shopify admin, go to Settings > Billing. Open any bill under Past bills and choose Export bill for a PDF or CSV. For a whole year, open the menu in Past bills, choose Export bills, then Bills by date, and set the date range. Shopify emails the CSV to the address on your account. Shopify Payments processing fees aren't on your bill. They're deducted from payouts.
Where Shopify keeps your bills
Everything is under Settings > Billing in the Shopify admin.
- Current billing cycle: select View current charges to see the running total so far, the dates of the cycle, the payment method, how far you are from your billing threshold, and a breakdown of charges. These are charges that haven't been billed yet.
- Past bills: select any bill to see its details. Each past bill shows a 9-digit bill number starting with #, which Shopify says also appears on your bank statement. It also shows the payment status, the date issued, the total and a breakdown of charges.
That bill number is the easiest way to match a card or bank charge to the right bill.
What's on a Shopify bill
Shopify groups charges into a few types:
- Subscription: your Shopify plan.
- Apps: app subscriptions and usage charges billed through Shopify.
- Shipping: shipping labels you buy in Shopify.
- Transaction fees: Shopify's transaction charges.
Recurring charges arrive on your regular bill. One-time purchases such as domains and themes are billed separately, so they show up as their own bills in the list. Taxes may be added to your bills depending on where your business is located.
App charges
App charges are where Shopify billing gets confusing. Shopify's help breaks them down this way:
- App subscriptions and usage charges appear on your regular Shopify bill.
- One-time app purchases are billed separately from your regular subscription bill.
- App credits appear on your Shopify bill.
- Usage charges vary with how much you use the app. They build up over a 30-day cycle and can land on more than one bill, depending on timing.
To see app charges that haven't been billed yet, use View current charges. For ones already paid, open the bill under Past bills. You can set a spending limit for usage-based apps from Settings > Apps.
Some apps bill you outside Shopify. Shopify says those external charges don't appear on your Shopify bill, so look for receipts from the developer and collect them separately. To stop that billing, Shopify says to cancel the subscription with the developer and uninstall the app.
Refunds for third-party app charges are up to the developer. Shopify points you to the app's Get support option in your admin.
Downloading one bill
- Go to Settings > Billing.
- Under Past bills, select the bill.
- Select Export bill and choose PDF, or CSV for a spreadsheet.
The PDF has an overview and a detailed breakdown of every charge on the bill. It's the document to keep as your receipt.
Downloading a year of bills
- Go to Settings > Billing.
- In the Past bills section, open the menu and select Export bills.
- Choose Bills by date and set the range, for example January 1 to December 31. (Current page exports only the bills you can see.)
- Shopify emails a CSV to the email address on your Shopify account.
Shopify says you can export bills for any date range back to when you created your account. The CSV is good for totals and for your accountant. If you also want a document for each bill, export the PDFs one at a time from Past bills.
Statement of charges. Shopify also offers a Statement of charges report that summarizes subscription fees, app charges, shipping fees and third-party transaction fees for any date range in the last 90 days. It's handy for a quarterly check, not for a full year.
Running several stores?
If your stores sit under a Shopify organization, you need an organization-level role with Billing access. On Shopify Plus, all of the organization's bills are in one place. On other plans you pick a store first. From the organization's Billing page you can Export bills, select specific bills and Export selected bills, or use Create expense report in Past bills to build a CSV by store, charge category and date range (7, 30, 90 or 365 days, or custom). The report is emailed to you.
Organization billing screens differ from single-store ones, so expect some differences in labels.
Payment processing fees aren't on the bill
If you use Shopify Payments, processing fees are deducted from your earnings before each payout. They don't appear as charges on your Shopify bill. To see them, open the payout details in your admin, or export the transactions for a payout. Shopify says the CSV includes Amount, Fee and Net columns.
So a full year of Shopify costs is usually three sets of records:
- Shopify bills (plan, billed apps, labels, transaction fees, domains, themes).
- Payout fee records for Shopify Payments processing fees.
- Receipts from developers for apps that bill outside Shopify.
Finding Shopify billing email
Your admin is the authoritative record, but a loose Gmail search can catch billing email from Shopify and app developers, for example from:shopify.com (bill OR invoice OR receipt) after:2025/01/01 before:2026/01/01. Adjust it for the developers whose apps you pay directly. More Gmail searches for receipts.
Doing it with What Receipt?
Export each Shopify bill as a PDF and drop it into What Receipt?. It reads the vendor, date, total and tax and files it by category and project, so a store's software costs sit with its other expenses. If apps that bill outside Shopify send receipts by email, forward them to your What Receipt? address, or connect Gmail on Pro to bring them in automatically. Pro's recurring-charge detection also flags it when a regular subscription doesn't turn up when expected. Running more than one store? Give each store its own project.
Questions
Where do I find my Shopify invoices?
In your Shopify admin, go to Settings > Billing. Past bills lists every bill. Select one to see its charges, and choose Export bill to download it as a PDF or CSV.
How do I download all my Shopify bills for a year?
In Settings > Billing, open the menu in Past bills, choose Export bills, then Bills by date, and set the year's date range. Shopify emails a CSV to your account's email address. Export individual bills as PDFs if you want a document for each one.
Why isn't an app charge on my Shopify bill?
Some app developers bill you directly instead of through Shopify. Shopify says those external charges don't appear on your Shopify bill. Look for a receipt from the developer. To stop the charges, cancel with the developer and uninstall the app.
Are Shopify Payments fees on my Shopify bill?
No. Shopify Payments processing fees are deducted from each payout. You can see them in the payout details or by exporting a payout's transactions, which include Amount, Fee and Net columns.
