How to get receipts into QuickBooks Online
The three ways to get receipts into QuickBooks Online (upload, email forwarding, or a CSV through bank upload), when to use each, and how to avoid the duplicate transactions that CSV imports love to create.
QuickBooks Online has good receipt handling, but the right route depends on what you're starting from. A stack of receipt images needs a different path from a spreadsheet of expenses, and choosing the wrong one is how books end up with every expense counted twice.
Short answer Receipt images or PDFs: upload them in the Receipts tab or email them to your QuickBooks forwarding address, then match each one to its bank transaction. A spreadsheet of expenses paid from an account that isn't connected to a bank feed: upload it as a 3-column CSV (Date, Description, Amount) through Bank transactions → Upload from file. Never CSV-import expenses that your bank feed already brings in.
Option 1: Upload receipt files (the usual answer)
If you have the receipts themselves (photos, PDFs, emailed invoices), let QuickBooks read them:
- Go to Accounting → Receipts.
- Choose Upload from computer (or Upload from Google Drive).
- Add your files: PDF, JPEG, JPG, GIF or PNG, one receipt per file. iPhone HEIC photos may need converting to JPEG first.
- QuickBooks reads each receipt and creates a transaction for you to review. Either match it to the bank or card transaction already in QuickBooks (it shows suggested matches) or save it as a new expense.
On a phone, the QuickBooks app's Receipt snap does the same with the camera.
Matching is the important step. Your bank feed has already brought in the charge, so the receipt should attach to that transaction, not create a second one. QuickBooks suggests matches with the same amount from 90 days before to 20 days after the receipt date.
Option 2: Email receipts to QuickBooks
QuickBooks can give you a forwarding address for receipts:
- Go to Accounting → Receipts and choose Forward from email. An admin has to set this up; the address ends in
@assist.intuit.com. - Forward receipts from the email address you sign in to QuickBooks with. Attachments must be PDF, JPEG, JPG, GIF or PNG, between 46 KB and 20 MB. You can include several receipts in one email.
- They land in the Receipts tab for review and matching, as in Option 1.
That works well for one-off emailed invoices. For a backlog of hundreds sitting in Gmail, you'll want to round them up first (here's how to find them).
Option 3: Import a spreadsheet through bank upload
Sometimes you don't have receipt files to upload, just a list of expenses, typically from a card or account that isn't connected to QuickBooks. For that, use bank upload:
- Go to Accounting → Bank transactions, open the Link account drop-down and choose Upload from file.
- Upload a CSV in one of the two layouts QuickBooks accepts:
- 3 columns:
Date,Description,Amount, with money out as negative numbers, or - 4 columns:Date,Description,Credit,Debit. - Map the columns, choose which QuickBooks account the transactions belong to, and finish.
- The lines arrive in For review. They don't touch your books until you categorize them (create the expense) or match them (link to an existing record).
File rules that trip people up
- 350 KB or less and up to 1,000 lines, one transaction per line, in English.
- One date format all the way down, with no weekday names in the date cells.
- Plain numbers. Change "Currency" formatted cells to General and leave empty cells blank, not 0.
- No special characters in descriptions.
- On a Mac, save as a Windows CSV.
Turning a What Receipt? export into a bank upload file
What Receipt?'s CSV export has one row per receipt. To make the 3-column upload file:

Delete the other columns, and the rows that belong to accounts QuickBooks already sees through a bank feed. Then save as CSV.
Don't create duplicates
The most common QuickBooks import mistake is bringing in the same expense twice: once from the bank feed and once from a CSV. Two rules prevent it:
- If an account has a bank feed, only upload receipts (Options 1 and 2) for it. Let the feed create transactions and attach receipts to them.
- If you upload a CSV for an account and later connect its feed, the overlap will show up twice in For review. Select the extras and choose Exclude. Excluded lines won't be added or downloaded again.
What about "Import data"?
QuickBooks also has a general Settings → Import data tool for bills, invoices, journal entries and more, from spreadsheets of up to 1,000 rows. Which transaction types it offers depends on your plan and region, and bill import is limited to higher tiers in the US. For receipts, the Receipts tab and bank upload are the routes Intuit documents. Use Import data when your accountant asks for bills or journal entries specifically.
Where What Receipt? fits
QuickBooks is where your books live. What Receipt? is where receipts get collected before they get there: photographed at the counter, pulled from Gmail automatically (including a whole past tax year), read for vendor, date, total and tax, and sorted into Business and Personal. From there you can:
- export a CSV and build the bank upload file above for accounts QuickBooks can't see, or
- hand your bookkeeper a categorized spreadsheet and an Excel workbook with monthly totals by category and project.

Questions
Can I import receipts into QuickBooks Online in bulk?
Yes, as files. The Receipts tab takes uploads from your computer or Google Drive (one receipt per file), and the email forwarding address accepts several receipts per email. Each one then needs to be reviewed and matched or saved.
What CSV format does QuickBooks Online need for transactions?
For bank upload, either three columns (Date, Description, Amount, with payments negative) or four columns (Date, Description, Credit, Debit). Files must be 350 KB or less with up to 1,000 lines.
Why do I have duplicate transactions after importing?
Usually because the same expenses came in from a CSV upload and from the bank feed. In For review, select the duplicates and choose Exclude.
Does QuickBooks attach the receipt image when I upload a CSV?
No. A CSV carries data only. To have the receipt image on the transaction, upload or email the receipt file and match it.
