How to get a hotel folio (receipt) after checkout
Why the itemized hotel folio is the receipt to keep, how to get one from Marriott Bonvoy, Hilton Honors, Hyatt and IHG after you've checked out, and what to ask the front desk.
Most people file the booking confirmation and call it a hotel receipt. It isn't. The confirmation shows what you expected to pay before you arrived. The folio, the itemized bill the hotel closes at checkout, shows what you actually paid, night by night, with taxes and anything charged to the room. That's the document an accountant or an expense report wants. Here's how to get one from the four big US chains, even weeks after you've left.
Short answer Ask the front desk to email you the itemized folio at checkout. That's the easiest way. After you've left: Marriott: on marriott.com, My Trips > Activity, then download the folio if available. Hilton: on hilton.com, Your Stays, filter to Previous stays, then View Receipt (up to 12 months). Hyatt: use the Retrieve Hotel Bill page on hyatt.com. IHG: contact the hotel, which handles its own billing.
Why a folio beats a booking confirmation
The IRS says a hotel receipt is enough to support business travel expenses if it shows:
- the name and location of the hotel,
- the dates you stayed, and
- separate amounts for charges such as lodging, meals and telephone calls.
A booking confirmation usually has the first two and a quoted total. It doesn't separate the room from the room-service dinner, it doesn't show the occupancy taxes as charged, and it doesn't prove you paid. The folio does all of that and ends with your payment and a zero balance.
One more reason to keep it: the IRS normally lets you skip receipts for expenses under $75, but lodging is excluded from that exception. Every hotel stay you deduct needs documentary evidence, whatever it cost. (See IRS Publication 463 for the details.)
The easiest way: ask at checkout
Before you leave, ask the front desk to email you an itemized folio. If you check out in an app or by express checkout, make sure the email address on file is the one you use for receipts. Marriott, for example, asks you to confirm the email address for the folio when you check out in its app.
If you had personal charges on a business stay, such as a family member's meal, ask the desk whether they can put them on a separate folio. That's simpler than explaining a mixed bill later.
Marriott Bonvoy
At checkout in the app: on your departure day, tap Check Out on your current stay, confirm the email address where your stay folio (receipt) should go, and tap Check Out. Mobile checkout opens at 4:00 a.m. local hotel time on the day you leave.
After your stay, on the website:
- Sign in to your Marriott Bonvoy account.
- Click My Trips at the top of the page.
- Select the Activity tab for a list of completed stays. Stay details and a folio download, if available, are here.
In the app, tap Trips at the bottom, then Past at the top, to see previous stays.
If the bill isn't on the website, Marriott's help center points you to its Contact page to request a copy of a past hotel bill. If a stay is missing from your account, your Bonvoy number may not have been attached to the reservation.
Hilton Honors
Hilton keeps receipts for past stays online for up to 12 months.
On the website:
- Log in to your Hilton Honors account.
- Select Your Stays in the top right corner.
- Using the filters on the left, check Previous stays and select Apply Filters.
- Select View Receipt for the stay.
In the Hilton Honors app: select Account from the bottom menu, Account again from the top menu, then Stay history, and View receipt for the stay.
If you can't find it, or you aren't an Honors member, Hilton says to contact the hotel directly.
Hyatt
Hyatt has a Retrieve Hotel Bill page at hyatt.com/contact-hyatt/retrieve-hotel-bill for requesting a copy of a past bill. Have the details of the stay ready: the hotel, your arrival and departure dates, and the name the room was booked under. If the online request doesn't work for your stay, contact the hotel directly.
If the stay is old or the request doesn't return a bill, call the hotel and ask for a copy of the folio.
IHG (Holiday Inn, InterContinental, Crowne Plaza and others)
During your stay, the IHG One Rewards app lets you review your bill and check out digitally.
After you leave, IHG's customer care FAQ says hotels are responsible for billing their own guests. Its help pages don't describe a self-serve download for past folios, so contact the hotel you stayed at and ask for an itemized folio by email. Most IHG hotels are independently owned and operated, so the property is the one that holds your bill.
Booked through Expedia, Booking.com or a travel agent?
Who issues the folio depends on who took your money:
- Paid at the hotel: the hotel charged you, so the hotel's folio is your receipt.
- Prepaid on Expedia: Expedia's itinerary receipt is your proof of purchase for the room. Anything you charged to the room during the stay, like Wi-Fi or the minibar, gets a separate receipt from the hotel at checkout. Keep both.
- Booked on Booking.com: Booking.com's confirmation includes a price breakdown and payment receipt, but it says invoices for stays always come from the property, even when Booking.com handled the payment. Ask the hotel for the folio.
Getting a whole year of hotel stays
- Search your email.
from:(marriott.com OR hilton.com OR hyatt.com OR ihg.com) after:2025/01/01 before:2026/01/01finds brand emails for a calendar year. Folios emailed at checkout may come from the individual hotel instead of the brand, so also searchfolio after:2025/01/01 before:2026/01/01. More Gmail searches for receipts. - Check your loyalty account's stay history for stays you missed, then pull each folio. Hilton's 12-month window is the one to watch.
- Call the hotel for anything the website doesn't have. Ask for the folio by email, not a printout.
Keeping hotel receipts tax-ready
- Keep the folio, not the confirmation. It's the itemized record.
- Separate personal charges. Meals and incidentals for someone else on a business trip aren't your business expense.
- Note the purpose of the trip when you file the folio.
- A digital copy is fine. See whether digital receipts are OK for the IRS.
Doing it with What Receipt?
Snap the paper folio at checkout or save the emailed PDF, and What Receipt? reads the vendor, date, total and tax. With Pro, connecting Gmail brings emailed folios in automatically, and Import a past year catches up a whole tax year. On the free plan, forward them to your personal forwarding address in Settings. Tag each stay with a project, such as the client or the trip, so the hotel, the flight and the car end up together in your export.

What is a hotel folio?
It's the hotel's itemized bill for your stay: the nightly room rate, taxes and fees, anything charged to the room, and the payments made. It's closed at checkout and is the receipt to keep for expenses and taxes.
How do I get a hotel receipt after I've checked out?
Use the chain's website or app. On Marriott it's under My Trips > Activity, on Hilton under Your Stays with the Previous stays filter, and on Hyatt through the Retrieve Hotel Bill page. For IHG, or if the online copy isn't there, call the hotel and ask them to email the folio.
Is a booking confirmation enough for taxes?
Usually not on its own. The IRS describes an adequate hotel receipt as one showing the hotel's name and location, your dates, and separate amounts for lodging, meals and other charges. A folio shows all of that. A confirmation generally doesn't.
I booked on Expedia. Who gives me the receipt?
If you paid at the hotel, the hotel gives you the folio. If you prepaid on Expedia, Expedia's receipt covers the room and the hotel gives you a separate receipt for anything charged to the room.
