How to get Expedia and Booking.com receipts and invoices

Where Expedia and Booking.com keep your receipts, why "pay now" and "pay at the property" change who gives you the receipt, and how to get a VAT invoice for a Booking.com stay.

Booking a trip through Expedia or Booking.com adds a middleman to the receipt question. Sometimes the site charged your card and its receipt is the one to keep. Sometimes the hotel charged you and the site's email is just a confirmation. And for a stay in Europe, the VAT invoice your company wants can only come from the property. Here's how to tell which is which and where to get each document.

Short answer Expedia: open the booking under Trips (or look it up with your email and itinerary number) and choose Print receipt or Get receipt on the itinerary page. If you paid at the hotel or the rental counter, the receipt comes from them instead. Booking.com: your confirmation includes a price breakdown and payment receipt, but invoices for stays always come from the property. Message the property from your booking and ask them to email it.

First, who took your money?

This one question decides where the receipt comes from.

  • Pay now (prepaid): you paid when you booked. On Expedia, the itinerary receipt is your proof of purchase. On Booking.com, a prepayment can be taken by the property or by Booking.com, and the confirmation says which.
  • Pay at the property (pay later): the hotel or rental company charged you, at check-in, at checkout or when you returned the car. Their receipt or folio is the one to keep. The booking site's email only confirms the reservation.

Your confirmation should say which kind of booking you have. Booking.com, for example, says the property is generally the one that charges your card, and that if Booking.com handles the payment instead, the confirmation states it clearly.

Either way, anything you add during the stay, such as parking, Wi-Fi or the minibar, is charged by the hotel and receipted by the hotel at checkout.

Finding your booking

  • Signed in: select Trips at the top of expedia.com and open the booking.
  • Not signed in: use the secure link in your confirmation email, or Expedia's Find your booking page, which asks for the email address and itinerary number you booked with.

Getting the receipt

Expedia's help center says you can get a receipt from the itinerary page by choosing Print receipt or Get receipt. Expect small differences in labels between the app and the website.

It also spells out who gives you what:

Need it for taxes? Expedia's own help article says that if you need a receipt for tax purposes, contact the travel provider, meaning the hotel or airline. For a hotel, that means the itemized folio.

Booking.com receipts and invoices

What Booking.com gives you

Booking.com doesn't issue invoices itself. Its help pages say your booking confirmation includes a detailed price breakdown and payment receipt. For many personal trips that's enough.

To find a past confirmation, sign in and open Bookings & Trips from your account menu, or use the confirmation email. Labels differ a little between the app and the website.

Getting an invoice from the property

For stays, the property issues the invoice, even if Booking.com handled the payment. Booking.com's partner rules say the same thing from the hotel's side: each reservation is an agreement between the guest and the property, so the property has to provide the invoice regardless of who processed the payment.

To get one, open the booking and message the property, asking them to email you an invoice. If you use Booking.com for Business, its help center describes a Request invoice option on the booking under Bookings and trips that does this.

For flights booked on Booking.com, download proof of payment from the flight confirmation page or from Bookings & Trips. For rental cars, open Manage booking and choose Receipt. Booking.com for Business documents both.

VAT invoices

If you're traveling for work in a country with VAT, your company may need a VAT invoice with its name and VAT number on it, not just a receipt.

  • Booking.com for Business: add your company's VAT number in the VAT number field at the final booking step. Booking.com passes it to the property to put on your invoice. The property decides the invoice format.
  • Look for "Easy invoice." Booking.com for Business labels properties that are reliable about providing tax invoices, and you can filter your search to show only those.
  • Flights and cars: give your VAT number directly to the airline or rental company when you ask for the invoice.

US hotels don't charge VAT, so for a domestic stay the itemized folio from the hotel is the document to keep.

Business-account tips

  • Prefer pay-at-property for work trips if your company needs an itemized folio or a VAT invoice. You'll get the full document at checkout without chasing it later.
  • Ask for the invoice before you leave. The front desk can usually print or email it on the spot. Getting it weeks later means emailing a property that may not reply quickly.
  • Keep both documents for prepaid stays: the booking site's receipt for the room, and the hotel's receipt for extras.
  • Note the purpose of the trip when you file the receipt.

Doing it with What Receipt?

Expedia and Booking.com receipts arrive by email, and so do many hotel folios. With What Receipt?
