How to get Starbucks receipts for expenses

Where Starbucks keeps your purchase receipts, why a card reload isn't an expense receipt, how to get a receipt for a mobile order, and what counts as a business meal.

Starbucks receipts are confusing for a simple reason. Many people pay with a Starbucks Card balance in the app, so there are two kinds of records: the reload that puts money on the card, and the purchase that spends it. Your bank statement shows the reloads. The coffee you actually bought shows up only in your Starbucks account. Here's where each one lives and which one to keep.

Short answer Sign in at starbucks.com, click Account in the top right and select History. That lists your purchases, reloads and reward redemptions. Click a purchase to open its receipt, then print it or save it as a PDF. Receipts for reloads aren't shown there. Starbucks emails them to the address on your account. For a business expense, keep the purchase receipt, not the reload.

Purchases vs reloads

When you pay with a Starbucks Card, or the card stored in the app, you're spending money you loaded earlier. So:

  • A reload moves money from your bank card onto your Starbucks Card. It's a prepayment. Nothing has been bought yet.
  • A purchase is the drink, the food or the bag of beans. That's the expense.

If you record both, you count the same money twice. If you record only the reloads, the amounts won't match what you bought, and you can't show what any of it was for. A reload receipt is not an expense receipt. Keep the purchase receipts for business items and treat reloads as moving your own money around.

If you pay with a credit or debit card instead of a Starbucks Card balance, the card charge and the purchase are the same transaction, which is simpler to match up.

Where Starbucks keeps your receipts

On starbucks.com

  1. Sign in to your Starbucks Rewards account at starbucks.com.
  2. Click Account in the top right to open the menu, then select History.
  3. Click a purchase to open its receipt. Print it as you would any other page, or choose Save as PDF in the print dialog.

Starbucks' help center says this History page lets you view purchases, reloads and Star reward redemptions, add a tip to a purchase, and access and print purchase receipts. Receipts for reloads are not in this view. They go to your email instead.

In the Starbucks app

The app also shows your transaction history from your account. Starbucks' help center documents the steps for the website, not the app, and the app's labels have changed over the years. Look for your history under your account or profile.

In your email

  • Reloads: Starbucks emails reload receipts to the address on your account. If you use auto-reload, Starbucks' card terms say you get confirmation emails before and after each automatic reload.
  • Delivery orders: the Starbucks app doesn't have delivery order history. Order details are emailed and texted to the email and phone number you gave at checkout.

To find them in Gmail, a loose search works best:

Mostly this finds reloads, which aren't expenses. Use it to check what was loaded and when, not as your expense record. More Gmail searches for receipts.

Paper receipts

  • Starbucks Card purchases in the store: Starbucks gives you a receipt if you ask for one. It shows that you paid with a Starbucks Card and your remaining balance.
  • Scan & Pay or mobile orders paid by credit or debit card: for Scan & Pay, the barista can give you a receipt after you pay. For a mobile order, a barista at that store can print a receipt from the register up to seven days after your order.

Starbucks doesn't send statements of activity on a Starbucks Card. Its terms ask you to check your online transaction history regularly.

Getting a year of Starbucks receipts

There's no export. Your options:

  1. Open History on starbucks.com and print or save the receipts you need one at a time. Fine for a handful of client coffees.
  2. Save business receipts as you go. Open the receipt right after a client meeting, save it as a PDF or take a screenshot, and note who you met.
  3. Don't rebuild a year from reloads. Reload emails and bank lines show money going onto the card, not what you bought or why.

Is Starbucks a business expense?

Sometimes. A few general points:

  • Your own coffee on a normal workday is generally a personal expense, even if you drink it at your desk.
  • Meals with a client or business contact, where business is discussed, can be deductible. So can meals while you travel away from home overnight on business. Either way the deduction is generally limited to 50% of the cost (IRS Publication 463).
  • Write down who and why. The receipt shows the date, place and amount. Add the person you met and the business purpose while you remember.
  • Gift cards as client gifts follow the business gift rules instead. The IRS limits the deduction for business gifts to $25 per recipient per year (Publication 463).

Doing it with What Receipt?

Save the purchase receipt as a PDF or screenshot and add it to What Receipt?, or snap the paper receipt with your phone's camera. It reads the vendor, date, total and tax, and tidies a messy name like "STARBUCKS STORE #1234" into plain "Starbucks". Put client coffees in your business project, add who you met in the notes, and they leave in the same export as everything else. If you connect Gmail on Pro, reload emails may come in too. Keep them out of your business project so the same money isn't counted twice.

How do I get a receipt for a Starbucks app purchase?

Why don't my Starbucks charges match my receipts?

If you pay with a Starbucks Card balance, your bank card is charged when you reload, not when you buy. The bank statement shows reloads, and the receipts show purchases, so the amounts rarely line up. Use the purchase receipts for expenses.

Where are my Starbucks reload receipts?

They aren't shown on the History receipt view. Starbucks emails reload receipts to the email address on your account.

Can I deduct coffee with a client?

A meal or coffee with a client where you discuss business is generally 50% deductible. Keep the receipt and note who you met and why. Your own daily coffee generally isn't deductible. Ask a tax professional how it applies to you.
