How to get Staples and Office Depot receipts for expenses and taxes
Where Staples and Office Depot keep receipts for online orders and in-store purchases, how rewards accounts let you pull up a lost store receipt, what to do without one, and how business accounts get invoices.
Office supply runs are classic business expenses, and classic lost receipts. The online orders are easy to find again. The in-store ones depend on whether you gave the cashier your rewards number. Here's where Staples and Office Depot keep both, and how to get a copy when the paper receipt is long gone.
Short answer Staples: sign in, open Orders, then Purchase History. The Online tab has a Receipt for each order from the last 24 months. The In-store tab shows store purchases made with your Easy Rewards account. Office Depot: sign in and open your order history from the Account menu to print online orders. Rewards members can find store receipts under Rewards Activity, then Details. Everyone else can use Office Depot's receipt request form.
Staples receipts
Online orders
The confirmation email is handy, but the receipt to keep lives in your account, because Staples updates it as charges and refunds post.
- Sign in at staples.com. Select the Orders icon, then Purchase History.
- On the Online tab, find the order and select Receipt in the grey bar to the right of the order number.
- You'll see a Transaction Summary that you can print or download.
Staples shows receipts for online orders placed in the last 24 months. Older than that, you'll need the original email or Staples customer service.
One order, several card charges. Staples may ship an order in parts, and each shipment shows up as its own charge on your card statement. The Receipt PDF lists every shipment with its own total, which is what you need to match the charges.
In-store purchases
If you used your Staples Easy Rewards account at the register (the digital card in the Staples app, or the phone number on your profile), the receipt is in your account:
- Go to Orders, then Purchase History.
- Select the In-store tab.
- Find the purchase (you can search by item number or use the filters) and select the transaction that starts with POS.
Staples says the store receipt shows the purchase date, transaction number, item numbers, descriptions, prices and a barcode for returns.
No rewards account on the purchase? If you paid by credit or debit card within the last 12 months, bring that card to the Staples store where you made the purchase and staff can look up the receipt.
Staples business accounts
Businesses that buy through Staples Business Advantage get invoices through that account rather than staples.com. Staples' Invoicing & Payment Portal lets you view or download summary invoices, detailed invoices and a statement of account. If someone else manages the account, ask them for portal access or a statement for the period you need.
Office Depot receipts
Online orders
Sign in at officedepot.com, open the Account menu and go to your order history, then open the order and print it. Office Depot's own help articles name this link differently (Order Tracking & History, Order Tracking and Orders all appear), so look for whichever version your account menu shows. The order details include billing information, quantities, product numbers, descriptions and prices.
For a list of orders, go to Orders under Account (or View All Orders on the account overview) to reach the My Orders page, which Office Depot describes as a printable list.
Bought as a guest? Office Depot's help says to contact customer service with the order number and the phone or account number used for the purchase.
In-store purchases
- Rewards members: sign in at officedepot.com, open Account, scroll to the rewards section and select Rewards Activity. Find the transaction and select Details to see the store receipt.
- Everyone else: fill in Office Depot's receipt request form from its help center. It covers one receipt per form, and Office Depot says to expect a reply within 48 hours.
ODP Business Solutions accounts
Business accounts run through ODP Business Solutions at odpbusiness.com (the old business.officedepot.com redirects there). Since May 2022 those invoices have come from ODP Business Solutions, LLC, so don't be surprised when the vendor name on the invoice doesn't say Office Depot. Order history and reporting are in the business account. For billing questions, contact ODP Business Solutions directly.
Getting a whole year of receipts
Neither retailer offers a single "download every receipt" button for consumer accounts. What works:
- Search your email for online orders. In Gmail,
from:(staples.com OR officedepot.com) after:2025/01/01 before:2026/01/01covers a calendar year. Addsubject:(order OR receipt)if marketing email clutters the results. More Gmail searches for receipts. - Download online receipts from your account. At Staples, open each order's Receipt from Purchase History. Remember the 24-month window, so don't leave this until a second tax year has gone by.
- Pull in-store receipts from your rewards history. This is the main reason to use your rewards number on every business purchase. It turns a lost paper receipt into a two-minute lookup.
- Ask a store for anything else. At Staples, card purchases from the last 12 months can be looked up in the store where you bought them. At Office Depot, use the receipt request form.
Keeping office-supply receipts tax-ready
- Give your rewards number at the register every time. It's the only thing that makes an in-store receipt recoverable later.
- Keep the itemized receipt, not the card statement. A statement shows "STAPLES" and an amount. The receipt shows that the $86 was toner and paper, not a gift card.
- Split mixed baskets. If business and personal items share a receipt, note which lines were business.
- Match split shipments. One Staples online order can mean several card charges. Use the receipt's shipment totals to match each one.
Doing it with What Receipt?
Snap the paper receipt at the register, or drop in the PDF from Staples or Office Depot. What Receipt? reads the vendor, date, total, tax and payment method and files it by category and project. Online order emails can come in by forwarding them to your What Receipt? address, or automatically with Gmail on Pro. Tag supply runs to a Business or client project and they leave in the same export as everything else.
