How to get PayPal receipts, statements and a year of transactions

Where to find a PayPal payment's details, how to download a year of activity as CSV or PDF, how monthly statements work, and why a PayPal record usually isn't the merchant's itemized receipt.

PayPal is a payment method, not a store. When you pay with PayPal, PayPal records that you paid, who you paid, when and how much. What you actually bought is usually on the merchant's receipt or order confirmation, which comes separately. Here's how to get PayPal's side of the record, how to download a whole year, and how to pair it with the receipts that show what you bought.

Short answer Open your PayPal Activity and select a payment to see its details. For a year of transactions, go to History, click the Download icon, choose Custom and pick a report. You can download up to 12 months at a time, going back up to seven years, as CSV, PDF, TAB, QuickBooks or Quicken files. Monthly statements are at paypal.com/reports/accountStatements. For an itemized receipt, look for the merchant's own email.

A PayPal record vs. a receipt

A PayPal transaction shows the payment: the recipient, the date and the amount. That's useful proof that money left your account. It often doesn't show what you bought, the item prices or the sales tax the merchant charged. For expenses and taxes you usually want both:

  • The merchant's receipt or order confirmation for what you bought.
  • The PayPal record to show how and when you paid.

If a seller never sent a receipt, ask them for one. The PayPal record alone shows the payment, not the purchase. More on what counts as a receipt.

Where PayPal sends emails

PayPal lets you choose which emails it sends you. On the web, click the Settings icon next to "Log out" and then Notifications. If you're not getting payment emails you expect, check there first, then your spam folder.

Finding a past payment

On the web, your transactions are on your Activity page, which shows the recipient, payment date and amount. Select a payment to see more details. PayPal's help pages call this page Activity in some articles and History in others, so expect the label to vary.

For a printable record of a month, select Statements in the top right corner of the Activity page.

Getting a whole year of PayPal activity

PayPal's reports are the quickest way to get a tax year in one file:

  1. Go to History (or Activity).
  2. Click the Download icon, then Custom.
  3. Choose the report that fits, and follow the prompts to create it.
  4. When it's ready, click Download.

A few limits to plan around:

  • Up to 12 months per request, from up to seven years back. A calendar year fits in one report.
  • File types: PDF, CSV, TAB, QuickBooks and Quicken. CSV opens in Excel or Google Sheets.
  • Large reports take time. PayPal says a big history file can take up to 5 business days and it emails you when it's ready. It keeps your 3 most recent large files. Small files download right away and aren't saved.

PayPal's report documentation lists columns such as item title, shipping and handling, sales tax and invoice number. Whether those are filled in depends on the transaction, so don't count on the CSV to replace the merchant's receipts.

Monthly statements

Go to paypal.com/reports/accountStatements, click Request next to the month you want, and click Download when it's ready. Statements are a good summary for your records. They're not itemized receipts.

PayPal Credit statements

PayPal Credit has its own statements. Click the PayPal Credit card tile on the home page, then Statements. Pick the month and click Get billing statement to download a PDF.

Finding the matching receipts

Once you have the CSV, use it as a checklist. For each business purchase, find the merchant's receipt in your email. In Gmail, from:paypal.com after:2025/01/01 before:2026/01/01 finds PayPal's own emails for a calendar year. Search by the merchant's name to find their receipts. More Gmail searches for receipts.

PayPal business accounts

Business accounts get PayPal's reporting tools, including the Activity Download report. Based on PayPal's documentation, it covers any period in the last seven years, up to 12 months per report. Preset ranges run from "Since last download" to "Past 6 months". Formats are CSV, TAB, PDF, QuickBooks IIF (US accounts) and Quicken QIF (USD). CSV and TAB reports are capped at 50,000 records per file and split into a ZIP above that. Menu labels in the business account vary, so look for the reports area under your activity.

If you use PayPal for both business and personal payments, a separate business account keeps the two apart. The year-end download then holds only business transactions.

Doing it with What Receipt?

PayPal's emails and the merchants' receipts both arrive by email. Connecting Gmail to What Receipt? (a Pro feature) brings them in automatically and reads each one for vendor, date, total, tax and payment method. Import a past year catches up on a whole tax year at once. Keep the merchant's receipt as the main record. Use PayPal's CSV download to check nothing is missing. Put business purchases in a Business project so they leave in the same export as everything else.

Is a PayPal transaction record a receipt?

It shows that you paid, who you paid, when and how much. It often doesn't show what you bought or the tax charged. Keep the merchant's receipt or order confirmation too, and use the PayPal record as proof of payment.

How do I download my PayPal transactions for a year?

Large history files can take up to 5 business days to generate, depending on server load. PayPal emails you when the file is ready. Small reports download right away.
