How to get Microsoft 365 receipts and invoices

Where to print Microsoft 365 Personal and Family invoices from your Microsoft account order history, how to download Microsoft 365 business invoices in the admin center, and how to pull a full year for your taxes.

Microsoft keeps two separate billing systems. Microsoft 365 Personal and Family, apps, games and other Microsoft Store purchases sit in your Microsoft account's order history. Microsoft 365 for business subscriptions are billed through the Microsoft 365 admin center, with proper invoices. Here's where to find each, and how to get a year's worth when your accountant asks.

Short answer Personal Microsoft account (Microsoft 365 Personal or Family, Store purchases): sign in at account.microsoft.com/billing, go to Payment & billing > Order history, open Order details and select Print. Microsoft 365 for business: in the Microsoft 365 admin center, go to Billing > Bills & payments (or Products > View invoices in the Simplified view), pick an invoice and choose Download > Download invoice.

Personal Microsoft account receipts

This covers Microsoft 365 Personal and Family subscriptions, plus apps, games and other Microsoft Store purchases made with a personal Microsoft account.

Finding and printing an order

  1. Sign in to your order history at account.microsoft.com/billing. If you have more than one Microsoft account, make sure it's the one that made the purchase.
  2. Go to Payment & billing > Order history. Under Refine, pick the orders and date range you want.
  3. Look for charges with a status of Completed or Redeemed. A status of In progress means it hasn't been charged to your payment method yet.
  4. To print the invoice, select Order details on the order, then select Print. Your browser's print dialog can also save it as a PDF.

Tax invoices

You may see a Tax invoice option on an order's detail page. Microsoft only issues these VAT invoices in countries where VAT applies, so most US customers won't see it. Where it is available, it can take from 48 hours to 5 days to appear after the purchase. For a US order, the printed order details are the record to keep.

Subscriptions

To see your Microsoft 365 subscription, its renewal date and whether recurring billing is on, sign in at account.microsoft.com/services and select Manage next to the subscription. Recurring billing charges you on your renewal date, monthly or yearly depending on your plan.

Bought through Apple, Google Play or a retailer?

If you bought Microsoft 365 from a third party such as Apple, Google Play, Amazon or Best Buy, that company billed you, not Microsoft. The receipt comes from them, and Microsoft can't cancel, refund or change billing for those subscriptions. On an iPhone, for example, your Microsoft 365 receipts come from Apple.

Charges that look like duplicates

If a payment fails, Microsoft keeps retrying until it goes through. That can put a late payment and the next on-time payment close together on your statement, for the same amount. Microsoft suggests checking a few months of order history. For a monthly plan, three charges in 90 days means you weren't charged twice.

If you see more charges on your card than in your order history, someone else may be using the same card on a different Microsoft account. The Investigate option on your Microsoft account's payment options page helps find other accounts using your card.

Microsoft 365 for business invoices

Microsoft 365 for business subscriptions are billed through the Microsoft 365 admin center. You must be at least a Billing Administrator to see invoices.

Downloading an invoice

  1. Go to the Microsoft 365 admin center.
  2. In the Simplified view, select Products, then View invoices. In the Dashboard view, go to Billing > Bills & payments.
  3. If you have more than one billing account, select Change billing account to switch between them.
  4. Select an invoice to see its details. If the list is empty, change the date range or pick a different billing account.
  5. To get the PDF, select Download, then Download invoice.

The online version of the invoice looks different from the PDF. The PDF is the one to file.

There's no separate payment receipt

Microsoft says Microsoft 365 business services don't provide payment receipts. For card payments, it suggests matching the invoice against your card statement. The invoice details page also shows the amount due and the date the invoice was paid.

What a business invoice shows

The invoice details show the invoice date, billing period, billing profile and billing account. The billing summary lists all charges, credits, taxes and the total. A transactions list shows what happened in the period, with types such as Purchase (a new subscription), Monthly payment (recurring charges), Renew, Add quantity and Remove quantity (licenses added or removed) and Credit.

Get invoices by email

You can have invoices sent to you as email attachments. Where you turn this on depends on your billing account type. For some accounts it's under Billing > Billing notifications, and for others it's in the billing profile's invoice settings. Microsoft's help article on billing notifications covers both.

Hardware and Store orders on a work account

Store purchases made with a work account at Microsoft's business store also get invoices in the admin center under Billing > Bills and payments. Microsoft says these are usually ready within 48 hours of the charge, and subscription items generate monthly invoices.

Getting a whole year of Microsoft receipts

Personal accounts: set the date range in Order history and print each order's details. There's no bulk download in Microsoft's help. Your inbox is the other source. In Gmail, from:microsoft.com (receipt OR invoice OR order) after:2025/01/01 before:2026/01/01 is a starting point. Microsoft uses several sending addresses, so widen the search if something's missing. More Gmail searches for receipts.

Business accounts: in Bills & payments, set the date range to cover the year and download each invoice's PDF. If you turned on invoice email attachments, they'll also be in the inbox of whoever receives billing notifications.

Keeping Microsoft receipts tax-ready

  • Know which record you have. Microsoft 365 for business comes with downloadable PDF invoices. A Personal or Family plan gives you printed order details.
  • File the invoice with the card statement line. Microsoft's business services don't issue payment receipts, so the two together are your record.
  • Know who bills you. If Microsoft 365 came through Apple or Google Play, look for the receipt there, not in your Microsoft account.
  • Note what it was for. "Microsoft 365 Business Standard, 3 users" is clearer than a card line.

Doing it with What Receipt?

Microsoft order and invoice emails that land in Gmail can be brought in automatically by connecting Gmail to What Receipt? (Pro). Each one is read for vendor, date, total and tax and filed with your other receipts. Import a past year catches up a whole tax year. Business invoices sent to an Outlook or work mailbox can be forwarded to your personal forwarding address from Settings, or you can drop the downloaded PDFs straight into the app.

Microsoft 365 renews monthly or yearly, so Pro's recurring-charge detection is a good fit. It spots the regular charge and alerts you when one goes missing, which can be the first sign that a payment failed.
