How to get eBay and Etsy receipts for expenses and taxes

Where eBay and Etsy keep your purchase history and receipts, how to find guest orders, how to pull a full year, and why a proper tax invoice from a seller isn't guaranteed.

Marketplace purchases are easy to buy and awkward to document. The money goes to eBay or Etsy, the item comes from a seller you've never heard of, and the card statement may not tell you which was which. Both sites keep a full record of what you bought. Here's where it is, and what to do when you need more than a receipt.

Short answer eBay: go to Purchase history and select View order details on the order. History goes back 7 years, and See orders from lets you pick a year. Etsy: go to Your account, then Purchases and reviews, and choose View receipt next to the order. In the Etsy app, tap You, then Purchases. Neither receipt is automatically a tax invoice from the seller. If you need one, ask the seller.

Where eBay sends them

eBay emails an order confirmation when you buy. If you checked out as a guest, that email is your main record, because guest orders don't appear in a purchase history.

Finding a past order

  1. Sign in and go to Purchase history in My eBay.
  2. You'll see the last 60 days by default. For older orders, use See orders from at the top and choose the year.
  3. Find the item and select View order details.

eBay keeps 7 years of orders in purchase history. The More actions menu next to each purchase has options like contacting the seller or starting a return.

eBay's help pages don't describe a dedicated receipt download for buyers. To keep a copy, open View order details and print the page from your browser, or save it as a PDF.

Guest purchase? Use eBay's guest order lookup with the email address you used or the order number.

What eBay order details show

eBay's help says order details include the order number, shipping address and tracking details. In US states that require it, eBay calculates, collects and remits sales tax on the seller's behalf and adds it at checkout, so the tax is on the eBay order rather than something the seller charges separately.

Getting a whole year of eBay purchases

  1. Use the year filter. In Purchase history, set See orders from to the tax year and work down the list.
  2. Search your email. In Gmail, from:ebay.com subject:(order OR purchase) after:2025/01/01 before:2026/01/01 covers a calendar year. Expect some noise from listings and offers. More Gmail searches for receipts.
  3. Save as you go. Seven years sounds long, but it's easier to save each business purchase when it arrives than to reconstruct a year in April.

Etsy receipts

Where Etsy sends them

Etsy emails an order confirmation from transaction@etsy.com. It has a View your order link that opens the order in your account. If it's missing, check spam and any other addresses you might have used.

Finding a past order's receipt

  • On Etsy.com: sign in, select Your account, then Purchases and reviews. Choose View receipt next to the order.
  • In the Etsy app: tap You, then Purchases, and select the order. Tap Receipt total to see the payment details.

The receipt shows the payment method at the bottom and, if the seller refunded anything, a Refund History. If the seller used a carrier Etsy doesn't track directly, the tracking number is on the receipt too.

Etsy's app and website use slightly different labels (Purchases and reviews on the web, Purchases in the app), so look for either.

Can't find an order? You may have bought while signed in to a different Etsy account, or as a guest. Etsy says a guest confirmation email says Reply to this email to contact the seller next to the shop name. To bring a guest order into an account, sign in or create an account with the same email address you checked out with.

Getting a whole year of Etsy purchases

Etsy's help doesn't describe a bulk receipt export for buyers. Your options:

  1. Search your email. In Gmail, from:transaction@etsy.com after:2025/01/01 before:2026/01/01 finds every order confirmation for the year. More Gmail searches for receipts.
  2. Open receipts from Purchases and reviews one at a time and save each as a PDF from your browser.

Sales tax on Etsy

Etsy charges sales tax at checkout where a US state requires it, and Etsy says the price you pay for an item from a US seller is the full price, with no extra tax at delivery. If you buy for a US tax-exempt organization, Etsy has a process for submitting an exemption form.

Seller tax invoices vary

On both marketplaces the receipt comes from the platform, not the seller. For most US expense records that's fine: it shows the date, item, amount and tax. But if you need a formal tax invoice from the seller (for example a VAT invoice for an overseas business):

  • Etsy says that outside Australia, New Zealand, the EU and the UK, it's the seller's responsibility to provide a compliant VAT invoice, and Etsy's default receipt can't be used for that. Etsy suggests contacting the seller before you order. Buyers in the EU and UK can see VAT on the receipt, and buyers in Australia and New Zealand can download a GST invoice for imported physical items, from View receipt.
  • eBay sellers range from individuals clearing out a closet to registered businesses. Whether a seller will issue an invoice is up to them, so ask through the order before you rely on it.

Keeping marketplace receipts tax-ready

  • Keep the marketplace record, not just the card line. A statement shows "eBay" or "Etsy" and an amount. The receipt shows the item, the seller and the tax.
  • Note what it was for. A used camera body from eBay and a gift from Etsy look the same on a statement.
  • Watch for refunds. Etsy shows refund history on the receipt. Record the refund so a returned item doesn't stay in your expenses.
  • Don't double-count. One order can produce several emails (confirmation, shipping, refund). Keep one record per order.

Doing it with What Receipt?

eBay and Etsy order emails can come in by forwarding them to your What Receipt? address, or automatically with Gmail on Pro. Import a past year catches up a whole tax year at once. Each order is read for vendor, date, total, tax and payment method and filed by category and project. You can also drop in a saved PDF of the order page. Tag business purchases to a project and add the purpose in the notes.
